Position Summary
The General Services Officer is responsible for ensuring the efficient delivery of administrative, logistical, procurement, facility management, transportation, and general office support services. The incumbent ensures that organizational operations are conducted efficiently, safely, cost-effectively, and in compliance with applicable policies, procedures, and regulatory requirements.
Key Responsibilities
Administration
- Manage daily office administration and operational support.
- Supervise administrative support staff, drivers, office assistants, and outsourced service providers.
- Maintain office supplies and equipment inventories.
- Coordinate office maintenance and repairs.
- Ensure effective document management and record keeping.
Facilities Management
- Oversee office facilities, utilities, and infrastructure.
- Coordinate preventive maintenance of office premises.
- Ensure workplace health, safety, and security standards are maintained.
- Liaise with landlords, building management, and maintenance contractors.
Procurement and Asset Management
- Coordinate procurement activities in accordance with organizational procurement policies.
- Obtain quotations and evaluate suppliers.
- Maintain vendor databases and service contracts.
- Manage inventory, fixed assets, and asset registers.
- Coordinate annual physical asset verification.
Logistics and Transportation
- Manage the organization’s vehicle fleet.
- Coordinate travel, transportation, and logistics arrangements.
- Monitor vehicle maintenance schedules, fuel consumption, and insurance.
- Ensure drivers comply with safety regulations and organizational procedures.
Contract Management
- Administer service agreements and vendor contracts.
- Monitor contractor performance and service delivery.
- Process contract renewals and maintain contract documentation.
Security and Safety
- Coordinate office security arrangements.
- Support emergency preparedness and business continuity initiatives.
- Ensure compliance with occupational health and safety requirements.
- Liaise with security service providers and relevant authorities when necessary.
Budget and Financial Support
- Prepare and monitor administrative budgets.
- Review invoices and support payment processing.
- Monitor operational expenditures and recommend cost-saving measures.
Compliance
- Ensure compliance with organizational policies and applicable local laws.
- Support internal and external audits by maintaining accurate records.
- Monitor adherence to procurement, asset management, and administrative procedures.
Stakeholder Coordination
- Liaise with government offices, vendors, service providers, and utility companies.
- Coordinate with internal departments to ensure timely support services.
- Build and maintain productive working relationships with stakeholders.
Qualifications
- Bachelor’s degree in Business Administration, Public Administration, Management, Supply Chain, Logistics, or a related field.
- A Master’s degree is desirable.
- Professional certifications in procurement, logistics, facilities management, or project management are an advantage.
Experience
- Minimum 5–7 years of progressively responsible experience in administration, general services, logistics, procurement, or facilities management.
- Experience with international organizations, embassies, UN agencies, NGOs, or multinational companies is highly desirable.
- Demonstrated experience supervising administrative staff and managing service contracts.

Working Conditions

Position Summary
The Office Assistant / Cleaner is responsible for maintaining a clean, hygienic, safe, and organized office environment. The incumbent also provides basic office support and hospitality services to employees and visitors, ensuring that office facilities are maintained to a high standard.
Key Responsibilities
Cleaning and Housekeeping
- Clean and sanitize offices, meeting rooms, reception areas, kitchens, washrooms, and common areas.
- Sweep, mop, vacuum, and dust office premises on a daily basis.
- Empty waste bins and dispose of waste in accordance with office procedures.
- Clean windows, doors, furniture, office equipment, and fixtures as required.
- Replenish toiletries, soap, tissues, and other hygiene supplies.
Hospitality Support
- Prepare and serve tea, coffee, water, and refreshments to staff and visitors.
- Assist in arranging refreshments for meetings, workshops, and official events.
- Maintain cleanliness and organization of the pantry/kitchen area.
Office Support
- Assist with photocopying, filing, and other basic administrative tasks when required.
- Support the setup of meeting rooms before and after meetings.
- Report maintenance issues, damaged equipment, or safety hazards to the supervisor.
- Assist in receiving office supplies and maintaining storage areas.
Health, Safety, and Hygiene
- Follow workplace health and safety procedures.

- Ensure cleaning equipment and supplies are stored securely after use.
Other Duties
- Perform additional office support duties assigned by the supervisor.

Qualifications
- Minimum Middle School or Matriculation (Secondary School Certificate) preferred.
- Basic literacy and numeracy skills.
Experience
- At least 1–2 years of relevant experience in office cleaning, housekeeping, hospitality, or a similar role.
- Experience in corporate offices, NGOs, embassies, or international organizations is an advantage.
